Central Mail and Confidential Mail Unit
Tasks of the Central Mail and Confidential Mail Unit
1. Receiving incoming mail addressed to the College from the University Presidency, other colleges, academic departments, and official institutions, and recording it in both the paper and electronic registers of the Unit.
2. Sorting incoming mail and distributing it to the academic departments, divisions, and administrative units within the College according to specialization.
3. Receiving outgoing mail from the College’s formations after ensuring it is completed with the required signatures and official stamp, and recording it in the outgoing mail register.
4. Sending mail issued by the College to the University Presidency, other colleges, or external entities in accordance with official procedures.
5. Archiving incoming and outgoing mail, both in paper and electronic form, to ensure ease of reference when needed.
6. Following up on official letters that require responses or specific actions, and documenting the receipt and delivery process.
7. Organizing internal mail circulation among academic departments and administrative units in coordination with the Follow-up Unit.
8. Verifying the accuracy and completeness of documents and transactions before dispatch, ensuring the presence of required signatures and official stamps and the absence of deficiencies.
9. Maintaining the confidentiality of official correspondence and ensuring accuracy in registration and delivery procedures.
10. Coordinating with the Central Mail Division at the University Presidency to ensure smooth movement of official letters between the College and the Presidency.
