College Council Secretariat :- An administrative unit affiliated with the Dean’s Office, responsible for managing the affairs of the College Council through organizing meetings, preparing session minutes, maintaining records and decisions, and ensuring the necessary follow-up and coordination for implementing the council’s resolutions and recommendations
Task of the College Council Secretariat
1 -Preparation for College Council Meetings: This involves preparing the meeting agenda in coordination with the Dean of the College, collecting topics, minutes, and proposals to be presented to the council, and ensuring the meeting hall and necessary arrangements are properly prepared.
2- Notification and Invitation to Meetings: Sending official invitations to council members and following up on their attendance confirmations or apologies.
3-Preparing Meeting Minutes: This involves accurately recording the proceedings of the session during the meeting, documenting decisions, recommendations, and members’ remarks, and working on preparing an official minute after each meeting.
4 -File and Record Preservation: This involves archiving meeting minutes and council decisions in approved records, and then ensuring the preservation of council documents in accordance with the university’s regulations.
5-Follow-up on Decision Implementation: This involves sending the decisions to the relevant departments and units within the college, and then monitoring compliance with their implementation, followed by submitting reports on the progress to the Dean of the College.
6 -Confidentiality and Governance: This involves maintaining the confidentiality of discussions and decisions until they are officially announced, and adhering to the university’s regulations and the Dean’s directives.
7-Coordination between the College Council and Other Entities: This is carried out by communicating with the University Council or the University Presidency regarding decisions that require higher approval, and by corresponding with academic departments and administrative units on matters related to the council.
